Step 1: Submit Hiring Request

Contact your College Postdoc Administrator to initiate the process. They will need to know Job Details (research area, job description, qualifications) ; Logistics (start date, funding source, salary), Candidate Status (i.e. if you have a candidate identified or if you require a public search).

Contacts: RCEAS: Stephanie Smith, CAS: Vicki Ruggiero, COH: Heather Messina/Steph Kish, COE: Zach Polzer, CBE: Nikoleta Kalahanis, All others: Contact Admin Director or Postdoc Office

Step 2: Create & Approve the Posting

 1. Ticket Creation: Your Dean’s Office initiates a JIRA ticket to HR.
 2. Review: HR sends a draft to you (Hiring Manager). Action: Approve the language promptly.
 3. The Link: * Identified Candidates: HR provides a private link for your candidate to apply.
 4. Public Searches: The post goes live on the Lehigh careers site within 2–3 business days. You post the link to your channels.
 5. Compliance: All materials must be housed in PageUp; do not store applications on personal drives.

Step 3: Advertise and Recruit (as applicable)

Lehigh automatically posts to LinkedIn, HigherEdJobs, and Indeed. For a broad search, PIs should lead active recruitment by sharing the PageUp link via professional listservs, academic societies, personal research networks and social media (LinkedIn/X).

Step 4: Interview & Select

Manage all evaluations through PageUp to ensure an objective and compliant search.

Screening: Review CVs and statements. Use PageUp to shortlist and record evaluations.
● Interviews: Use "Booking & Events" for scheduling.
● References: Contact references if letters were not provided during the application

Step 5: Extend the Offer

1. Finalize PageUp: Upload interview/reference summaries and send "regret" notices to other applicants.
2. Approvals: Notify your Business Manager and Dean’s Office of your selection.
3. Notify HR: Email Talent Acquisition (TA) with the finalist’s name, salary, and start date.
4. Make the Offer: HR drafts the offer. Once the Dean’s Office approves, HR releases it to the candidate via PageUp.

Step 6: Close the Search

A search is officially closed once the final administrative steps are completed in PageUp.
Candidate Notifications: Use PageUp to send professional regret notices to non-selected applicants.
Documentation: Document interview outcomes and reference checks within the system to maintain university compliance.
